POSITION SUMMARY

The Program Associate for the Program Team works with the Head of Regional Programs,  the Regional Teams, the Head of Monitoring, Evaluation and Learning (MEL), as well as the VP for Programs and Strategy to provide administrative support for cross team processes and functions. They will also work with Regional Teams to support administrative functions related to coordinating grantee meetings, consultant contracts and other grantee and grant making-related tasks, with a particular focus on the US Southeast Team’s needs. The Program Associate will be supervised by the Head of Regional Programs.

The ideal candidate for this position has grantmaking and project management experience and knowledge of women’s rights and LGBTQI organizations in the US. This position may require minimal travel within the US and is based in New York. This is a fixed-term position that will last until the end of 2027. There may be a possibility of extension or conversion to a permanent position.

ESSENTIAL DUTIES + RESPONSIBILITIES

Key responsibilities include, but are not limited to:

Grantee Partner and Data Management Support for the US Southeast Team (50%)

Grantee Partner Tasks

  • Support US Southeast grantmaking portfolio to provide information to grantee partners about grant processes, protocols, status, and other questions that arise.
  • Support the team to get additional information from grantee partners to assist with solicitations for proposals.
  • Support the team in preparing and drafting grant recommendations.
  • Support the team to respond to grantee partner needs throughout the grant process.

Data Management & Compliance Tasks

  • Assist Grants Management (GM) and the US Southeast Grantmaking team to support processing of grant-related documentation, as needed.
  • Assist to update and maintain the accuracy of grantmaking information including by logging and tracking information in the grants database, as needed.
  • Stay up-to-date on relevant grantmaking policies and compliance requirements and assist program staff with understanding, operationalizing, and adhering to relevant policies and guidelines.
  • Identify and advise on ways to improve processes related to grantmaking, including reporting tools and templates, and implement technical improvements for grantmaking processes and team infrastructure.

Cross Regional Team Administrative Support (50%)

  • Assist Regional Teams in general scheduling and scheduling related to coordinating meetings, initiatives, event planning, and technical assistance related to grantmaking strategy that bring together partners across two or more regional portfolios.
  • Assist Regional Teams, the Heads of Regional Programs and the Head of Monitoring and Evaluation (MEL) and the VP for Strategy and Programs to arrange Program Team-wide events and meetings. This can include securing necessary personnel such as interpreters, notetakers, and facilitators, as well as handling logistics and hiring coordinators for cross-regional events.
  • Support the Head of Regional Programs in developing and tracking the cross-regional team’s annual budget and monitoring budget spend down.
  • Assist Regional Teams, the Heads of Regional Programs and the Head of Monitoring and Evaluation (MEL) and the VP for Strategy and Programs in developing and processing contracts.

 

REQUIREMENTS

Experience

  • Demonstrated commitment to the foundation’s vision and mission and alignment with its values.
  • Bachelor’s degree in social sciences or related field (gender studies, anthropology, sociology or international development), or equivalent years of work experience.
  • At least three years of experience in program roles within human rights and social justice nonprofit or philanthropic sectors; proven track record in executing the responsibilities of this position.
  • Experience with grantmaking processes, preferably at a public or private foundation.
  • Familiarity with gender justice, racial justice; women’s, girls’ and LGBTQI rights; and familiarity with the current context of politics, culture, and human rights discourse in the US

Minimal overnight travel to participate in staff retreats is required. Must have eligibility to work in the United States. 

COMPENSATION AND CULTURE

Salary Range: $76,490 - $95,613, depending on experience.
